Article 1 - AIMS
The Bologna Portfolio Award aims to acknowledge the illustrator’s portfolio as a key tool to furthering his/her profession, recognizing its major role as a means of accessing new job opportunities and as a communication tool between the illustrator and his/her clients (publishers, art directors, literary agents, etc.).
Article 2 - RECIPIENTS
The award is exclusively open to illustrators who are finalists in the 2025 Illustrators Exhibition and who participate in person in the portfolio reviews scheduled for April 3, 2025, from 9:30 AM to 1:30 PM, as part of the 2025 Portfolio Marathon initiative held at "The Illustrators Survival Corner" (hall 30).
Article 3 - Participation
To participate in the Bologna Portfolio Award - BCBF25 competition, each illustrator must sign these regulations at the time of registration for the Portfolio Marathon 2025 portfolio review by accessing their Reserved Area. Failure to sign the regulations will result in exclusion from the Bologna Portfolio Award-BCBF25 competition.
Portfolio Marathon Portfolio Review Booking Method
Participation in the Portfolio Marathon portfolio reviews is free with mandatory booking in the reserved area of the BCBF website and is reserved exclusively for the finalists of the 2025 Illustrators Exhibition who will participate in person on April 3rd from 9:30 AM to 1:30 PM at "The Illustrators Survival Corner" hall 30. Registration is allowed for up to a maximum of 1 portfolio review unless otherwise indicated by the organizers. In the event that, due to space availability, it is permitted to book more than 1 portfolio review, only the portfolio review booked within the period of March 11th - 16th, 2025 will be evaluated for the purposes of the Bologna Portfolio Award - BCBF25 competition.
The illustrator declares:
a) to be the legitimate owner of the economic exploitation rights over the works protected by copyright used in the portfolio submitted for the Bologna Portfolio Award - BCBF25 competition and, consequently, to be able to ensure full traceability of the components used and their ownership;
b) that the rights of use and/or exploitation of the intellectual property, subject to licensing, do not infringe any third-party intellectual property rights;
c) to undertake to indemnify and hold BolognaFiere harmless from any damage or harm that may arise as a result of the untruthfulness, inaccuracy, or incompleteness of the statements made in this paragraph.
Article 4 - PRE-SELECTION
At the end of each Portfolio Review, the reviewer shall assign a score from 1 to 10 to each portfolio reviewed for each of the following portfolio characteristics:
Each Portfolio Review session will produce a ranking of the portfolios reviewed based on the portfolio’s overall score, i.e., the sum of the grades assigned by the Reviewer to each criterion. The two illustrators with the highest score for each session will advance to the next stage (the Final Selection, as described in Article 5 of these Regulations).
In the event of more than one illustrator obtaining the highest score, all these illustrators shall be advanced to the next (Final Selection) stage. Likewise, all those illustrators obtaining the second to highest score shall pass to the Final Selection.
The result of the Pre-selection shall be communicated to the illustrators selected by email.
The result of the pre-selection will be communicated to the illustrators through the BCBF website by April 14, 2025.
Article 5 - Final Selection
For the final selection, finalists must send - according to the methods communicated to them via email - the evaluated portfolio in PDF format, no later than April 18, 2025. The Jury will be composed of three book industry professionals. Each juror will assign a score from 1 to 10 to each finalist portfolio and must assign a mention indicating, in their sole discretion, the best among the evaluated portfolios. The final ranking will be determined by adding the scores assigned by the three jury members. Any mention assigned by each juror counts as 1 bonus point. Each illustrator can therefore obtain a minimum score of 3 and a maximum score of 33. The Jury will meet virtually and indicate the winner at its sole discretion.
By June 16, 2025, the name of the winner and the final ranking of all the finalists of the Bologna Portfolio Award BCBF25 competition will be published on the Bologna Children's Book Fair website and on related social channels. Competition participants will also receive an email communication with the competition results.
Article 6 - Award
First place winner:
NB! Visa procedures and costs, as well as meals, are the responsibility of the winner.
In the event that the winner does not confirm acceptance of the prize within 7 days of notification, it will automatically be awarded to the next name in the finalists' ranking.
Article 7 - USE OF IMAGES
While the illustrators shall remain the exclusive owners of their portfolios, they nonetheless hereby grant BolognaFiere the non-exclusive right to publish - free of charge, for the duration of 3 years - their portfolios on the web as well as on the social media platforms of “Bologna Children's Book Fair” and its official and authorized partners, for general promotional purposes or for any other initiative related to “Bologna Children's Book Fair”, also in languages other than Italian.
Illustrators hereby agree not to make any claims for payment or other concessions for the use in whatever form by BolognaFiere and/or third-party agents of their portfolios, recognizing that, in making use of their work, BolognaFiere also intends to publicize and promote the finalist illustrators of the Bologna Portfolio Award - BCBF25 selection worldwide.
Article 8 - CANCELLATION OF AND CHANGES TO THE COMPETITION
BolognaFiere may, at its sole discretion, cancel the Competition with no obligation to compensate any of the parties involved.
Article 9 - TREATMENT OF PERSONAL DATA
BolognaFiere undertakes to comply with all obligations arising from current laws governing Personal Data Protection, in particular Regulation (EU) No. 2016/679 (“GDPR”), as well as any additional national or supranational date-protection regulations, namely measures issued by the Italian Data Protection Authority or the European Data Protection Committee.
Article 10 - JURISDICTION AND COMPETENT COURT
Relations between the participants in this Competition shall be governed by the laws of Italy. Any dispute arising shall fall within the jurisdiction of the Italian judicial authority and shall be brought exclusively before the Court of Bologna.
Article 11 - FINAL PROVISION
Participation in the Competition and the use of the awards shall be completely free of charge and shall not entail any constraint or commitment of any kind beyond the conditions of participation set forth in these Rules and Regulations.
